1. Service Contracts and Agreements

For all IT services, data solutions, advertising, and educational support services provided by HEPTA'S LTD:

  • The specific refund and cancellation terms for each service will be outlined in your service contract or agreement
  • In case of any discrepancy between this general Refund Policy and your specific contract, the terms in your contract will prevail
  • We encourage clients to review all contractual terms before signing agreements

2. Consultation and Discovery Services

For initial consultation and discovery services:

  • Free consultations, if offered, can be cancelled at any time without penalty
  • Paid discovery or consultation services that have been scheduled but not yet performed can be cancelled at least 48 hours in advance for a full refund
  • Cancellations within 48 hours of a scheduled consultation may be subject to a 50% cancellation fee
  • No refunds will be issued for consultations that have already been delivered

3. Project-Based Services

3.1 Cancellation Before Project Commencement

If you wish to cancel a project before work has commenced:

  • A full refund will be provided minus any non-refundable deposits as specified in your contract
  • Any expenses already incurred by HEPTA'S LTD specifically for your project may be deducted from the refund amount

3.2 Cancellation During Project Execution

If you wish to cancel a project that is already in progress:

  • You will be billed for all work completed up to the cancellation date
  • Any unused prepaid fees will be refunded minus a 10% administrative fee
  • Cancellation notices must be provided in writing

4. Subscription-Based Services

For recurring or subscription-based services:

  • Cancellations must be submitted at least 30 days before the next billing cycle to avoid being charged for the subsequent period
  • No refunds will be provided for the current billing period if services have already been partially delivered
  • Annual subscriptions paid in advance may be eligible for a prorated refund of the remaining months, minus any applicable discounts that were applied due to the annual commitment

5. Refund Process

To request a refund:

  • Contact us at info@heptas.co.uk with your request
  • Include your name, company name, invoice number, and reason for the refund
  • All refund requests will be reviewed on a case-by-case basis
  • Approved refunds will typically be processed within 10-15 business days
  • Refunds will be issued using the original payment method when possible

6. Non-Refundable Services and Expenses

The following are generally not eligible for refunds:

  • Services that have been fully delivered according to the agreed specifications
  • Third-party costs and licenses purchased on your behalf, as these are often non-refundable to us
  • Rush fees for expedited work
  • Custom development work that has already been completed
  • Non-refundable deposits as specified in your contract

7. Dissatisfaction with Services

If you are dissatisfied with our services:

  • Please notify us immediately so we can address your concerns
  • We will make reasonable efforts to resolve any issues and ensure your satisfaction
  • If the issue cannot be resolved, a partial or full refund may be considered at our discretion
  • Claims of dissatisfaction must be submitted within 14 days of service delivery

8. Force Majeure

HEPTA'S LTD will not be liable for any failure or delay in performing our obligations where such failure or delay results from any cause beyond our reasonable control (force majeure). In these circumstances:

  • We will notify you as soon as reasonably possible
  • Our obligations will be suspended for the duration of the force majeure event
  • We will make reasonable efforts to find solutions to overcome the circumstances
  • Refunds may be issued at our discretion depending on the specific circumstances

9. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. It is your responsibility to review this Refund Policy periodically.
